TektraHomes is committed to protecting the privacy and security of personal data and business information of all customers using our office space consultation, site inspection and office search services. This policy clearly sets out the purposes and scope of collection, retention periods, and technical measures applied to ensure information security in accordance with Decree No. 13/2023/ND-CP on personal data protection and applicable laws.
1. Purpose of collecting personal and business information
TektraHomes collects only the information necessary to directly support office leasing consultation and service delivery, including:
Consultation and office space recommendations: Processing requests for office space that matches workforce size, budget and preferred location.
Quotations and market information: Providing available-space listings, rental rate analyses, building materials and sample contracts upon request.
Support for site inspections: Arranging appointments between customers and building management or developers.
Legal and contract support: Guiding customers through lease negotiations, contract signing, business address registration, and invoice and documentation procedures.
Post-handover support: Receiving feedback, resolving complaints and supporting businesses throughout their operational period.
2. Scope of information collected
Information is collected through website registration forms, hotline calls, Zalo messages, emails or direct discussions during site inspections:
Basic contact information: Full name of the representative/contact person, phone number, email address and job title.
Business information: Company name, tax identification number, business sector and current headquarters address.
Leasing requirement information: Required floor area, preferred areas, estimated budget, office relocation timeline and specific technical requirements (parking, after-hours access, three-phase power).
Automatically collected technical data: IP address, browser type, access time and page-browsing behavior through web analytics systems (to improve the website user experience).
3. Scope of information use and sharing principles
TektraHomes is committed to using customer information internally and only for the purposes that have been communicated.
No commercialization of data: TektraHomes does not sell, rent, exchange or transfer customer information to any third party for commercial purposes or unauthorized advertising.
Sharing with directly relevant partners: Customers’ contact details and requirements are provided to building owners, management boards or operators only with the customer’s consent, for arranging viewings and completing contract procedures.
Disclosure as required by law: TektraHomes is obliged to provide information where requested in writing by law enforcement agencies or competent state authorities in Vietnam.
4. Data retention period
Customers’ personal data and requirement information are retained internally in TektraHomes’ secure CRM system until the lease transaction is completed or until a deletion request is received from the customer.
Records and documents related to completed brokerage/consulting contracts will be retained for the periods prescribed by the Law on Accounting and tax laws.
5. Security and information safety measures
TektraHomes applies technical security standards and strict management processes to protect data against loss, unauthorized access or disclosure:
Data encryption: All data transmitted through the website is protected using the secure SSL/TLS (HTTPS) encryption protocol.
Internal access control: Only authorized personnel (direct managers and consultants responsible for contracts) are granted access to customer data according to specific permission levels.
Secure server systems: Data is stored on server systems meeting cybersecurity standards, backed up regularly and protected by firewalls against attacks.
6. Customers’ rights regarding personal data
Customers have full control over their personal information through the following rights:
Right to review and request correction: Request TektraHomes to provide a copy of stored information or update it when changes occur.
Right to request deletion or cessation of data use: Customers may request the removal of all contact information from the system at any time by sending a written request or email to the administration team.
Right to opt out of communications: Customers may opt out of market newsletter emails or consultation calls by notifying us directly via the hotline or clicking the unsubscribe button in an email.
